Sellers only have to show information on spare parts, manuals and repair restrictions where the manufacturer makes it available to them (Directive (EU) 2024/825). This template asks for all five points. In Germany the seller must prove that it met its information duties (§ 312m(2) BGB); whether that includes proving that the manufacturer provided nothing is an open question. Keep the request and any reply.
What the letter asks for
The five points follow the wording of the law: availability of spare parts, estimated cost, ordering procedure, repair and maintenance manuals, and repair restrictions. Ask each manufacturer once for all products; the list names model and barcode.
If no reply comes
If the request goes unanswered and the information is not on the product, packaging or label either, the duty does not arise under the wording of the law. Whether this also applies when you are the manufacturer, own brand or importer is not yet settled. See When the manufacturer provides nothing.
In the Shopify app
In the RepairInfoEU app (Pro plan), the same letter is created per brand for all its products. After 14 days the app marks the request as due; reply or silence is recorded with the date in the record, which you open as a print view.
Frequently asked questions
Do I need to write to every manufacturer?
No. Under recital 36 of Directive (EU) 2024/825 there is no duty to ask. A request does, however, create clarity and a record.
How long should I wait for a reply?
The law sets no deadline. The template asks for a reply within 14 days; then send one reminder. Record both dates.
